01 / PRIVACY
Who we are and what this covers
Pro Fit Timing (“we,” “us” and “our”) provides race timing and event support from Central Texas. This policy covers personal information handled through our website, our contact experience, our staff portal and race results that we host.
An event organizer, school, registration company or external results provider may separately decide how to collect and use participant information. Their privacy policies and event notices also apply to their services. This policy does not replace them.
02 / PRIVACY
Information we collect
- Contact information you provide, such as your name, email address and optional phone number.
- Inquiry details, such as your event name, date, location, race format, distances, expected field size, organization, requested services and message. A results question may include a race reference, bib number or the issue you want us to review.
- Race information supplied by event organizers or timing and results systems. Depending on the event, this may include a participant’s name, bib number, team, category, age group, times, splits and placings. A city may be displayed where publication is permitted.
- Technical information associated with website requests, such as an IP address, browser and device information, pages requested, referring pages and request times. Our infrastructure providers process this information to deliver, secure and measure the website.
Our contact experience also records which page or button led to an inquiry and uses a random conversation identifier to keep saved answers together. Please do not send payment-card details, passwords, government identification numbers or medical records through the contact experience.
03 / PRIVACY
When the contact chat saves your details
The chat begins by asking for your name and email address, with an optional phone number. When you press Continue, those details are saved as an unfinished inquiry so our team can follow up, even if you leave before pressing Send. Further answers are saved as you select or continue through the conversation. Closing the page does not erase information already saved.
Typing in a field alone does not save a chat answer. Pressing Send marks the saved inquiry as submitted. If you choose Ask another question after sending, the chat remembers your contact details for that open visit and creates a separate inquiry. Reloading the page clears the remembered details from the chat, but does not delete inquiries already stored by us.
If you would like us to delete an unfinished inquiry, use the contact details at the end of this policy. You may also contact us by email or phone instead of using the chat.
04 / PRIVACY
How we use information
- Respond to questions, follow up on unfinished inquiries, discuss quotes and coordinate requested services.
- Plan and deliver race timing, support event organizers, publish authorized results and investigate results questions or corrections.
- Operate and protect the website and staff portal, prevent abuse, troubleshoot problems and understand overall website usage.
- Keep necessary business records, address disputes and comply with applicable legal obligations.
Sending an inquiry does not subscribe you to marketing emails. When race-news subscriptions are enabled, we save your email address and subscription request and ask you to confirm by email before subscribing you. Confirmation links expire after seven days. Subscription emails include a way to unsubscribe. You can ask us to stop optional promotional communications using the contact details below; we may still respond to an inquiry or send information necessary for a service you request.
05 / PRIVACY
Public results and participant information
For races selected by our staff, we receive published finisher results from RunSignup and refresh them automatically on our own results pages, including during the race. We keep only the fields needed to show and maintain results, plus age to protect minors. We do not download registration contact details, birth dates, payment details or emergency contacts through this connection. Source removals and private result sets are withheld from our public pages when the next successful update detects them. Staff privacy restrictions remain in place across updates.
Race results may appear as pages on this website, downloadable files or links to an external results provider. Published information can be viewed, downloaded, shared or indexed by search engines. We do not publish contact-chat messages, email addresses or phone numbers as race results.
For results we host, publication is subject to the event’s permissions and applicable privacy restrictions. Youth participation and school results require particular care. If you are a participant, parent or guardian with a correction or privacy concern, contact us with the event name and enough detail to identify the result, such as a bib number. Please avoid sending unnecessary sensitive information.
We may need to work with the event organizer to verify or resolve a request. For results hosted elsewhere, the organizer or provider controls changes to its own records. Removing a result from our website does not automatically remove copies held by an external provider, a search engine or another person.
06 / PRIVACY
When information is shared
We do not sell personal information collected through this website, share it for cross-context behavioral advertising or use it for targeted advertising. We disclose information as needed for these purposes:
- Website operations: authorized personnel and technical service providers help us maintain the website, store records and respond to requests. Supabase provides the database, staff authentication and file-storage services used by this site. When email delivery is enabled, Google Apps Script and Google’s mail services process recipients and message contents to deliver inquiry alerts, acknowledgements and subscription confirmations. Vercel provides hosting and content delivery when the site is hosted there. Authorized developers may receive operational notices while supporting the website; internal notices link to protected portal records rather than including inquiry messages.
- Your event or request: we may share relevant event, timing or correction information with the organizer, school or results provider involved, when needed to provide the service or resolve your request.
- Public race information: results, event details and other content authorized for publication are available to website visitors.
- Legal and business needs: information may be disclosed when required by law, to protect rights and safety, or as part of a business transfer with applicable privacy protections.

Storage, retention and security
Aggregate usage counters are kept for up to 90 days, grouped operational incidents for up to 30 days, completed email-delivery records for up to 30 days, and staff audit records for up to 365 days. The Google relay ledger keeps request identifiers, payload hashes and delivery states for up to 120 days; uncertain deliveries are retained for inspection. These cleanup periods apply once the reviewed maintenance schedules are enabled. They do not delete the underlying inquiry or race record. Unresolved delivery records and their related operational incidents remain available for inspection.
We retain inquiries, including unfinished inquiries, and related business records for as long as needed to follow up, deliver services, maintain necessary records, resolve disputes or meet legal obligations. Race results may be kept as a historical event record, subject to publication permissions and applicable rights. Retention depends on the record, the event, our relationship with you and any legal requirements; there is no single automatic deletion period for all information.
We use access controls and other reasonable safeguards to protect nonpublic information. Access is limited according to the work being performed. No internet transmission or storage system can be guaranteed completely secure. Requests to delete information are subject to necessary legal or operational exceptions; backup copies may remain until replaced through the provider’s backup lifecycle.
We are based in Texas. Our service providers may process information in the United States and other countries where they operate. Privacy protections may differ between jurisdictions.

Your choices and privacy requests
You can contact us to ask what personal information we hold about you, request access to a copy, correct inaccurate information, request deletion or ask us to stop optional communications. Depending on where you live and which laws apply, you may also have rights to a portable copy, to withdraw consent for processing based on consent, or to opt out of certain processing.
Email Profit@Profitracetiming.com with “Privacy request” in the subject, or call 254-224-7855. Describe what you are requesting and provide only enough information for us to locate the relevant inquiry or race record. We may need to verify your identity or an authorized representative’s authority before disclosing or changing records. You do not need to create an account to make a request.
We will handle requests within the time limits required by applicable law and explain any applicable exception. If we decline a request, you can ask us to review the decision by emailing the same address with “Privacy appeal” in the subject. We will explain the outcome and, where applicable, how to contact the relevant regulator. We do not discriminate against people for exercising applicable privacy rights.
10 / PRIVACY
Children and school events
Our business inquiries and staff portal are intended for adults. We do not ask children under 13 to submit their contact information directly. Schools, coaches and event organizers may provide information needed for youth or school events, and public results can include youth participants where publication is authorized and permitted by law.
A parent or guardian who believes a child has provided contact information without appropriate permission, or who has a concern about a child’s published result, should contact us. We will review the circumstances, coordinate with the organizer when needed and remove or restrict information as appropriate or required by law.
11 / PRIVACY
Other websites and services
Registration links, external results, maps and event websites take you to independent services, including providers such as RunSignup, MileSplit and Athletic.net. Those services handle information under their own policies. Registration and payment details entered on another website are handled by that provider, not by this website’s contact chat. Review the relevant provider’s privacy notice before entering information there.
12 / PRIVACY
Changes to this policy
We will update this policy when our website or information practices change and revise the date at the top. Where a change requires additional notice or consent under applicable law, we will provide it. A policy update does not by itself authorize a new use of previously collected information that requires your consent.
